VOET Energy Solutions places great importance on protecting your personal data. In this Privacy Notice, we aim to provide clear and transparent information about how we handle your personal data.

When you use our information, services and products, we may ask you to provide personal data. These data are necessary in order to deliver the information, service or product you have requested. We may request personal data relevant to a specific situation. This allows us to process your inquiries and respond to your requests. We retain these data for as long as necessary or reasonably required to fully respond to and handle your request or question.

Processing of personal data of the clients and suppliers of VOET Energy Solutions
Personal data are processed by VOET Energy Solutions for the following purpose(s):

• Execution of agreements;

• Communication related to agreements;

• Administrative purposes;

The legal basis for the use of these personal data is: The agreed assignment or contract; For the above purposes, VOET Energy Solutions may request the following personal data from you: Name; Address; Email address; Telephone number Bank account number, other relevant personal data. VOET Energy Solutions shall retain your personal data for the purpose of the processing mentioned above for the duration of the agreement and thereafter only in our financial records as required by law.

Processing of personal data of prospective clients, stakeholders, lobby groups and interested parties
Personal data are processed by VOET Energy Solutions for the following purpose(s):

• Providing information through newsletters and/or targeted communications.

The legal basis for processing these personal data is: Verbal consent, submission of an online form or the handing over of a business card.

For the above purposes, VOET Energy Solutions may request the following personal data from you: Name, address, telephone number and email address.

VOET Energy Solutions shall retain your personal data for the purpose of the processing mentioned above for as long as you are considered a prospective client, stakeholder, lobby group and/or interested party.

Disclosure to third parties
We may share your personal data with third parties if this is necessary to achieve the purposes outlined above. For example, we may engage third parties for:

• Website and IT infrastructure management;

• Administrative support;

We will never share your personal data with third parties unless we have a data processing agreement in place. We enter into data processor contracts with these parties (processors) to ensure that appropriate arrangements are in place to protect your personal data.

Furthermore, we will not share your personal data with other parties unless this is required by law and permitted. In such cases, we are required to cooperate and are therefore also obliged to disclose these personal data. We may also share your personal data with third parties if you have provided written consent to this end.

Within the EU
We do not share your personal data with parties located outside the EU.

Minors
We only process the personal data of minors (individuals under 16 years of age) if we have received written consent to do so from a parent, guardian or legal representative.

Retention period
VOET Energy Solutions does not retain personal data for longer than necessary for the purpose for which it was collected, or as required by law.

Security measures
We have implemented appropriate technical and organisational measures to protect your personal data against unlawful processing. These measures include:

• All individuals who, on behalf of VOET Energy Solutions, have access to your data, are bound by a duty of confidentiality.

• A username and password policy on all our systems;

• Pseudonymisation and encryption of personal data where applicable;

• Regular backups of personal data to allow for recovery in the event of physical or technical incidents; Regular testing and evaluation of our security measures;

• Employee training on the importance of personal data protection.

Your rights regarding your personal data
You have the right to access, rectify or erase the personal data that we hold about you. You can also object to the processing of all or part of your personal data, either by us or by one of our processors. You also have the right to have your data transferred directly to another party, or to receive it yourself upon request. We may ask you for proof of identity before fulfilling such requests. If we process your personal data based on your consent, you have the right to withdraw that consent at any time.

If you have a complaint about how we handle your personal data, please contact us directly. If we are unable to resolve the issue together, we sincerely regret that. You have the right to file a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens), the supervisory authority for privacy matters in the Netherlands.
